Administrative Assistant

As an Administrative Assistant with Fasturtle, you will work in an environment with the feel of a startup, but the stability of a 20-year organization. The responsibilities revolve around accounting and operations tasks. This is definitely not a boring job… most of the processes are automated and documented but need communication to trickle down to employees and customers for additional support. You must be technical, great at Excel, understand accounting, and not be afraid to roll up your sleeves and get stuff done. We work hard, play hard, and hold each other accountable for the success of Fasturtle and our customers.
Who You Are
- Quickbooks experience REQUIRED. Must have completed AR/AP tasks, created new customers, invoiced and received payments plus other related bookkeeping experience in a similar cash-basis accounting environment.
- Experience 2 plus years as an admin assistant or office manager of a tech firm, or advertising agency is PREFERRED.
- Experience 2 plus years of CRM, Quickbooks, Zoom phone, and video conference PREFERRED. Computer management skills…… do you know what virus protection is, cost base analysis, and how to record a phone tree?
- Considerate, consistent, dependable, detail-oriented, methodical, motivated, organized, patient, positive, punctual, responsible, team-oriented, and trustworthy.
- Excellent professional communication skills (verbal, text, and especially listening).
- Proficient in Microsoft Office, Google apps and web browsing.
- You are inquisitive; if you don’t have the answer you will research it on Google or various other resources available.
What You’ll Do:
- New order entering in Quickbooks and closeout quotes data in Salesforce
- Quickbooks AP/AR, Invoicing and monthly reconciliation, invoice clients, request payments, and direct billing processes.
- Consistently maintain accurate and detailed records within all mission-critical applications/systems.
- Continuously professionally represent Fasturtle while executing effective multi-faceted business communication.
- Dependably manage your time to produce targeted results.
- Work in an urgent manner, this could be a part-time position but it is not half effort ;)
- Be provided in-depth new hire and residual training on our applications, process, procedures, and systems
- Support management and other team members in various ad-hoc organizational, sales/marketing and administrative needs.
